Missed call text back: the message to send, when to send it, and where it stops helping

A missed call text back is an automatic text that goes to a caller when nobody picks up. It costs little, it takes minutes to set up, and it is better than silence. It is not the same as answering the call, and the difference decides which one your business needs.

What a missed call text back does

When a call goes unanswered, your phone system sends the caller a text from the same number. The caller sees that you noticed, and they get an easy way to reply. If they reply, the thread lands with you or your team. Quo describes it as software that sends automatic messages to callers if no one on your team picks up the phone.

That's the whole idea. It doesn't book anything by itself and it doesn't talk. It buys you a few minutes of the caller's attention while you finish the job in your hands.

Why it's worth doing

Most businesses still miss a lot of calls. In Invoca's 2026 study of more than 70 million calls to business services companies, only a little over half of callers reached a person.

Every call in the other group is a person who wanted something and got voicemail. Some leave a message. Many don't. A text back gives that second group a reason to stay with you instead of dialing the next name on the list.

The text to send

A good text does four things in a few short lines: says who you are, shows you saw the call, tells them what happens next, and asks for one easy reply. Keep it plain. It's a text from a person, not a flyer.

Our own template for a service business. Swap in your name and your link. The wording is an example, not a quote from any provider.

Quo's own example is shorter still: a sorry-we-missed-you line and a promise to reach out shortly. It also suggests adding business hours or a booking link. Either works. What fails is a long text, a wall of offers, or a link with no words around it.

When to send it, and when not to

  • Send it for every unanswered call, day or night. The caller shouldn't have to guess whether you got the call.
  • Add one line after hours. Say when you open, so the text doesn't read like a broken promise at midnight.
  • Don't send it to the same person over and over. Quo limits its own auto-replies to one every three hours to the same contact, and that is a sensible rule to copy. A caller who rings back twice doesn't need three texts.
  • Skip it for numbers you already know are spam. Block those first. A text to a robocaller gets you nothing and can cost you message allowance.
  • Never promise a time you can't keep. "Soon" and "as soon as we're out" are safe. A promised hour is a promise you must meet.

What it costs

Dedicated text-back tools are cheap, and the price is counted in messages. As listed on its own pricing page, TextBack sells three plans:

PlanPrice as listedMessagesWhat's included
Starter$24 a month250 a monthMissed call auto-text, one-way outbound messaging
Growth$49 a month750 a monthAdds two-way conversational texting and review automation
Scale$124 a month2,000 a monthEverything in Growth, more users, analytics

Notice what the cheapest plan leaves out. At the entry level the text goes out, but real two-way conversation is a step up. If you want the caller's reply to turn into a booking, price the plan that lets you answer.

The setup rule people miss

In the United States, business texts sent from a regular local number must be registered. Twilio's documentation says anyone sending SMS or MMS over a 10DLC number from an application to the US must register for A2P 10DLC, and that unregistered traffic picks up additional carrier fees. Registered senders get lower message filtering and higher throughput.

For a small owner this means a short registration form, with sample messages and a description of how people opt in and out. Twilio's sole proprietor guide lists the steps for owners without a business tax ID. A good provider walks you through it. If a tool promises "live in minutes" and never mentions registration, ask about it before you pay.

Texting rules differ by country, so check the rules where your callers live before you switch anything on. Always give people a way to stop messages.

Where a text back falls short

A text back is a patch on the missed call. It does nothing about the reason you missed it. Three gaps matter:

  • The caller wanted an answer now. Someone with a burst pipe or a booking to make will often ring the next business instead of waiting for a text.
  • It needs you to finish the job. Someone still has to read the reply, find a slot and write back. If that takes a day, the text only moved the wait.
  • It can't take a booking on the call. The caller leaves the conversation with nothing confirmed.

Here is a simple rule for choosing. If you miss a few calls a week and can reply the same day, a text back is enough. If calls are your main way of getting booked, and you miss them at night, in the middle of jobs or at peak hours, you need the call answered, not just acknowledged.

Where Cinemora fits

Cinemora is one remote studio for video editing, AI video, websites and AI automations. We've delivered more than 1,000 videos for over 50 clients since 2025.

For missed calls, we built Ava, our AI receptionist. She answers every call day and night, books it and texts the confirmation. She is sold as one package with the website booking flow and tuned monthly, so the booking lands where your customers already look. You can watch a film of her taking a call. If a plain text back is all you need today, use one and start there.

Questions

What is a missed call text back?

It's an automatic text sent to a caller when nobody answers. Quo describes it as software that sends automatic messages to callers if no one on your team picks up the phone. The caller sees you noticed the call and can reply.

How much does missed call text back software cost?

Prices are low but not zero. TextBack lists plans from $24 a month for 250 messages, with two-way texting on the $49 plan. Whatever you pick, check the message limit and whether two-way replies are included.

What should the text say?

Say who you are, that you saw the call, what happens next and one easy way to reply. Keep it to a few short lines and don't promise a time you can't keep.

Is a missed call text back the same as an AI receptionist?

No. A text back reaches the caller after they hang up and needs you to finish the job. An AI receptionist answers the call, books it and texts the confirmation, so the caller leaves with an answer.
